➢ POSITION SUMMARY
The Facilities Ministry Assistant provides administrative and operational support to the Facilities Director and Facilities Team to ensure the effective management, stewardship, and operation of the church’s buildings, grounds, vehicles, and facility resources.
This position supports the mission of First Baptist Church Sevierville by helping ensure that church facilities are properly maintained, prepared, and organized to serve ministries, staff, members, and guests.
REPORTS TO:
Facilities Director
TYPICAL WORK SCHEDULE
Monday-Friday, standard office hours, with occasional flexibility required for ministry events.
EMPLOYMENT STATUS-Full-time
PURPOSE
The purpose of this role is to assist the Facilities Department in maintaining efficient operations, managing administrative responsibilities, coordinating facility needs for ministry events, and supporting the Facilities Team in providing safe and functional environments for worship, ministry, and community outreach.
QUALIFICATIONS
• High School Diploma (minimum)
• Experience in office administration or administrative support preferred
• Ability to read, write, and communicate effectively in English
• Experience working with teams and interacting with the public
• Basic understanding of facilities operations or willingness to learn
SKILLS AND ABILITIES
• Working knowledge of Microsoft Office (Word, Excel, PowerPoint, Outlook)
• Strong organizational and administrative skills
• Ability to manage multiple tasks and priorities
• Strong communication and interpersonal skills
• Ability to learn and manage church management or facility software systems
• Attention to detail and problem-solving ability
• Ability to work independently and as part of a team
KEY RESPONSIBILITIES
Administrative Support
• Provide daily administrative support to the Facilities Director and Facilities Team
• Answer calls, respond to emails, and assist staff with facility-related questions
• Maintain accurate records for facility operations and documentation
• Assist with preparation of reports, schedules, and departmental documents
Purchasing and Budget Stewardship
• Create and process authorized purchase orders for facility supplies and projects
• Maintain purchase order documentation and track related invoices
• Assist with monitoring and tracking Facilities Department expenses
• Analyze costs of products and services to help steward the department budget
Facility Scheduling and Event Coordination
• Stay updated with the church calendar to coordinate facility needs
• Assist ministries and staff with facility setup requirements for events
• Maintain and update room setup diagrams, photographs, and setup standards
• Coordinate setup needs with the Facilities Team to ensure rooms are prepared properly
Work Order and Maintenance Coordination
• Assist with managing facility work order requests
• Track work orders and communicate updates with staff and ministries
• Help prioritize requests in coordination with the Facilities Director
• Maintain maintenance logs and service documentation
Vendor and Service Coordination
• Maintain vendor contact information and service records
• Assist with scheduling vendor services and contractor visits
• Maintain documentation for service contracts and warranties
• Communicate with vendors regarding service needs when directed by the Facilities Director
Vehicle Management
• Assist with scheduling church vehicle reservations
• Track vehicle maintenance and service needs
• Help maintain driver approval records and documentation
Staff Scheduling
• Assist in preparing weekly schedules for the Facilities Team
• Communicate schedule changes when necessary
Event and Ministry Support
• Occasionally assist with logistical support for church events
• Provide administrative assistance for ministry-related facility needs
• Assist with supply purchasing or event preparation when necessary
WORK CONDITIONS
This position is primarily office-based but may occasionally involve assisting with facility preparation or ministry events. The Facilities Department supports many ministries within the church, which creates a variety of responsibilities and daily tasks.
Some schedule flexibility may be required during large church events or ministry activities.
PERSONAL APPEARANCE
This role regularly interacts with church members, guests, staff, and vendors. Professional standards of personal appearance and grooming are expected.
No uniform will be provided.
